The Role
We are looking for a highly organized and motivated Payroll Specialist to join our Finance team. This remote position plays a key role in ensuring the accurate and timely processing of US payroll, while maintaining full compliance with all federal, state, and local tax regulations.
The ideal candidate is a collaborative team player with a strong eye for detail, excellent customer service skills, and a genuine interest in growing their career in payroll. They will have extensive experience in payroll administration, a solid understanding of payroll systems, and a strong commitment to delivering timely and accurate compensation in a fast-paced, tech-driven environment.
Key Responsibilities
- Payroll Processing:
- Manage and process bi-weekly or monthly payroll for all employees (salaried, hourly, and contractors) in accordance with company policies and legal requirements.
- Calculate and verify regular wages, bonuses, overtime, and commissions, ensuring accuracy and timeliness of payments.
- Review timecards and approve any discrepancies or adjustments before payroll processing.
- Compliance and Taxation:
- Ensure compliance with federal, state, and local payroll regulations, including tax filings, benefits deductions, garnishments, and withholdings.
- Prepare and file quarterly and annual payroll tax returns (e.g., Form 941, W-2s, and state filings).
- Stay current with changes in tax laws and regulations, and implement any necessary adjustments to payroll systems.
- Payroll Reporting:
- Generate and distribute regular payroll reports to department heads, finance teams, and senior leadership.
- Reconcile payroll-related accounts, including general ledger entries and benefits accruals.
- Assist in the preparation of year-end reports, audits, and any other financial documentation related to payroll.
- Employee Inquiries & Support:
- Serve as the main point of contact for employees regarding payroll-related inquiries, including wage discrepancies, benefits deductions, and tax withholdings.
- Provide guidance on payroll policies, timekeeping procedures, and other related matters to ensure a seamless payroll experience for employees.
- System Administration:
- Maintain and update payroll systems, ensuring accurate employee data and deductions.
- Assist with payroll system upgrades, troubleshooting, and enhancements to improve efficiency and accuracy.
- Special Projects:
- Collaborate with HR, finance, and other departments on special payroll-related projects (e.g., acquisitions, system transitions, or process improvements).
- Assist in the implementation of new payroll technologies or software.
Qualifications
Education & Experience:
- Associate or Bachelor’s degree in Accounting, Finance, Human Resources, or related field
- Minimum 2 years of experience in payroll processing
- Proficient in payroll software preferably in ADP workforce or Rippling
- Strong understanding of payroll taxes, benefits administration, and employment law.
- High level of attention to detail and accuracy, especially in managing complex payroll data.
- Ability to handle sensitive and confidential information with discretion.
- Excellent organizational, communication, and problem-solving skills.
- Ability to thrive in a fast-paced, high-volume environment.
Certifications:
- CPP (Certified Payroll Professional) certification is a plus but not required.
