The Role
Abby Care is seeking an Executive Assistant who operates as a true organizational partner to our senior leadership team—a force multiplier who makes our leaders faster, sharper, and better prepared at every turn.
This is a role for someone who runs toward ambiguity. You anticipate needs before they're voiced, close tasks without being chased, and bring sound judgment to situations where the right path isn't always spelled out. You also understand that supporting senior leadership in a fast-moving healthcare startup means you'll routinely encounter sensitive information—personnel matters, strategic decisions, confidential communications—and you handle all of it with discretion and professionalism as a baseline.
You'll support multiple members of our broader senior leadership team, which means you're managing competing priorities across multiple principals, building real relationships with internal and external stakeholders, and serving as a reliable, trusted extension of the executives you represent. People inside and outside the organization should feel confident that working through you is as effective as working through the executive directly.
Working Schedule: Monday–Friday, 9:00am–5:00pm PST, with availability outside those hours when business needs require it.
Responsibilities:
Proactively manage executive calendars, surface scheduling conflicts before they become problems, and protect leadership time with intention.
Coordinate communication between executives and internal/external stakeholders with accuracy, timeliness, and good judgment about what requires escalation versus resolution.
Own tasks from initiation to completion—tracking progress, removing blockers, and communicating status without being asked.
Maintain organizational systems and documentation with the understanding that good infrastructure is invisible until it breaks.
Support the preparation of meetings and events, including logistics, agendas, and pre-read materials—often anticipating what will be needed before it's requested.
Handle sensitive and confidential information with the discretion appropriate to a healthcare organization operating at the intersection of patient families and insurance systems.
Requirements:
Proven experience as an executive assistant or in a senior administrative role supporting multiple executives or senior leaders.
Demonstrated ability to operate with high autonomy—you take ownership, exercise judgment, and don't wait to be told what to do next.
Exceptional written and verbal communication skills in English; your written work should be clear, professional, and require minimal revision.
Strong organizational skills and the ability to manage competing priorities across multiple principals without dropping threads.
Sharp attention to detail and a problem-solving orientation—you find solutions before surfacing problems.
Proficiency in Google Workspace and comfort learning new tools quickly.
Comfortable using AI tools to streamline day-to-day work—drafting, research, summarization, and task management—and curious about finding new ways to apply them as the tools evolve.
A track record of building trust with the executives and stakeholders you've supported.
Preferred Qualifications:
Experience supporting US-based executive teams in a remote or offshore capacity, with a strong sense of how to operate as a genuine partner rather than just a task executor.
Experience in project management, event coordination, or cross-functional logistics.
Familiarity with healthcare, tech, startups, or similarly fast-paced environments where priorities shift and resourcefulness is non-negotiable.
Knowledge of office management systems and procedures.
