The Role
We are looking for a highly organized and detail-oriented Care Operations Associate to support patient onboarding and care delivery operations. In this role, you will help ensure that patient records, documentation, scheduling, and onboarding activities are completed accurately and on time.
This position is primarily administrative and operations-focused. You will work closely with internal teams, healthcare providers, and clinicians to support a smooth onboarding experience for patients and families.
What You'll Do
Support patient onboarding and care operations processes
Collect, review, upload, and maintain medical, insurance, and eligibility documentation
Coordinate with healthcare providers, hospitals, and medical facilities to obtain required records and documentation
Create and maintain patient profiles in internal systems, including Salesforce, Rippling, and Abby OS
Schedule provider visits and care-related appointments
Track documentation status and ensure records remain complete and up to date
Maintain accurate patient records and organize documentation efficiently
Collaborate with clinicians and cross-functional teams to ensure timely completion of onboarding requirements
Identify issues that may delay onboarding or care delivery and escalate them when necessary
Support additional administrative and operational tasks as needed
What You'll Spend Most of Your Time Doing
Patient onboarding support
Profile creation and system updates
Document collection, review, and uploads
Scheduling and coordination activities
Note: This role is primarily back-office and administrative. There are no direct patient or parent calls. Most communication is with internal teams and healthcare providers.
What We're Looking For
Required Qualifications
At least 2 years of experience in healthcare operations, patient onboarding, care coordination, medical records, healthcare administration, or a similar role
Experience managing documentation, records collection, scheduling, and operational workflows
Experience working in a fast-paced environment with multiple priorities and deadlines
Strong organizational skills and attention to detail
Excellent written and verbal English communication skills
Ability to work independently while collaborating effectively with a team
Strong sense of ownership, accountability, and follow-through
Comfortable learning and working with new systems and technology
Required Tools & Systems Experience
CRM experience (Salesforce preferred)
Google Workspace (Google Drive, Docs, Sheets, Gmail)
Cloud-based document management systems
Strong computer proficiency
Preferred Qualifications
Experience in patient onboarding, care coordination, healthcare scheduling, or medical records management
Experience supporting families, caregivers, or patient populations
Experience improving operational processes and workflows
Experience with Electronic Medical Record (EMR/EHR) systems
Experience in home healthcare, care management, care navigation, Medicaid/Medicare, or healthcare support services
