Objective:
The Billing Analyst will ensure accurate and efficient billing processes while maintaining compliance with company policies and accounting standards. This role requires proactive communication with staff and clients, meticulous review of billing activities, and effective resolution of discrepancies to support organizational financial objectives.
Essential Functions:
Review and post invoices created by the transportation department, addressing discrepancies in project notes, invoice amounts, or WIP data, and resolve issues through editing or deletion of invoices as necessary.
Verify receipts daily to ensure proper application to invoices, and coordinate with staff to create invoices or resolve import discrepancies when needed.
Manage the department email to ensure timely responses to staff and client inquiries via email, phone, or Teams.
Generate and review monthly reports on unpaid invoices while following up on overdue accounts.
Input collection data into the system for tax return and accounting projects, manage client refunds, ensure proper documentation, and resolve outstanding issues as they arise.
Monitor overdue balances, send collection letters and notes as required, and escalate unresolved accounts when necessary to meet deadlines and maintain accuracy.
Identify and resolve open WIP items for canceled or completed projects, and conduct five-year-back and prepayment cleanups by specified deadlines through thorough account reviews.
Provide training to staff by helping develop and teach an annual billing class aimed at improving understanding of billing procedures and client accounts.
Ensure compliance with billing policies by proactively addressing discrepancies and implementing process improvements across all invoicing activities.
Collaborate across departments to enhance efficiency, improve billing workflows, and resolve systemic challenges to optimize operational performance.

Time Management: Efficiently prioritize and manage multiple tasks to meet deadlines and operational goals.
Technical Proficiency: Knowledge of billing systems and proficiency in Excel or similar tools.
Collaboration: Ability to work effectively with teams across departments, providing training and guidance when necessary.
Adaptability: Flexibility to manage shifting priorities and adapt to new processes or systems as organizational needs evolve.
Supervisory Responsibility
This position has no supervision responsibilities. He or she will have the Senior Administrator as a supervisor.
Position Expectations & Work Environment
This is a full-time hourly position. While performing the duties of this job, the employee works normal office hours (with guilt-free flexibility). Some weeks over 40 hours may be required.
Location & Travel
Based in Springfield, MO, but also serve employees in all Abacus! physical locations and those working remotely.
Required Education & Experience
Associate’s degree in Business or a related field, experience in Practice CS, and 2-4 years of experience in a similar field are preferred.
