Objective:
The Project Excellence Support Associate plays a hands-on, coordination-focused role within the Department of Excellence. Working in close partnership with teams such as HR, Communications, Learning & Development, and Business Support, this individual supports key administrative functions and facilitates communication and logistics that help projects stay on track. This is a great opportunity for someone looking to grow in an administrative capacity while gaining exposure to project coordination across departments.
Essential Functions:
Coordinate and manage schedules for the Department of Excellence by setting meetings, managing calendars, and confirming logistics across multiple teams to ensure timely communication and alignment.
Assist with the planning and execution of internal events, training programs, and department initiatives by organizing materials, coordinating participants, securing space or virtual links, and supporting event-day logistics.
Maintain accurate and organized documentation related to departmental projects, including checklists, timelines, meeting notes, and project status updates, ensuring all materials are up-to-date and accessible.
Provide administrative support to department leaders by preparing agendas, taking meeting notes, assembling documentation, and following up on action items to help keep priorities on track.
Support communication between department teams and stakeholders by drafting and distributing updates, reminders, or summaries to ensure consistent and timely flow of information.
Assist in tracking tasks and deadlines related to ongoing department projects by monitoring progress, following up with assigned team members, and maintaining shared tracking tools.
Organize and manage internal filing systems and digital archives for department records, ensuring documents are properly stored, easy to retrieve, and in compliance with internal standards.
Partner with internal teams such as HR, Communications, & Learning & Training to support cross-functional initiatives and provide logistical or administrative assistance as needed.
Support efforts to collect and analyze feedback from internal programs and events by distributing surveys, organizing responses, and preparing basic summaries to help inform continuous improvement.
Perform other administrative or coordination duties as assigned by department leadership to ensure the smooth and effective operation of the Department of Excellence.

Supervisory Responsibility
This position has no supervisory responsibilities. The Project Excellence Support Associate reports to the Chief Excellence Officer.
Position Expectations & Work Environment
This is a full-time, salaried position located in Springfield, MO. The role is in-office with flexibility. Standard office hours apply, though occasional extended hours may be required during peak project or event periods. The work environment is collaborative and mission-driven.
Location & Travel
This role is based at the Springfield, MO office and does not require regular travel. The position may support remote team members across various company locations.
Required Education & Experience
Preferred Associate degree in Business Administration or a related field and 1–2 years of administrative or office experience.
