Role Overview
The Seasonal Fine Art Administrator supports the day-to-day operations of the Fanatics Fine Art department, ensuring efficiency and accuracy across all workflows. This role is designed for a detail-oriented individual eager to grow within a fast-paced, creative, and sports-driven environment. The administrator will play a key role in managing submissions, processing payments, and coordinating logistics while maintaining the highest standards of quality control.
How you will make an impact:
- Review all concepts for usability, accuracy, and compliance with brand standards
- Ensure proper use of intellectual property and adherence to licensor style guides
- Prepare and submit approval sheets to licensors
- Maintain accurate artist files, statements of work, and documentation.
- Generate purchase orders and process artist invoices for Fine Art Manager approval
- Execute transfers to artists, ensuring proper tracking and documentation
- Maintaining up-to-date records for projects, approvals, and deadlines.
- Coordinate domestic and international shipments.
- Prepare incoming artwork for inventory receiving and assist in updating records.
- Conduct preliminary quality checks on artwork, prints, and delivered items, escalating concerns to the Fine Art Manager.
- Uphold quality control standards across all operational tasks
What you bring to the team:
- Bachelor’s degree in business, marketing, communications - or equivalent work experience
- 0–1 year of experience in operations, marketing, or a related administrative role
- Strong organizational and time management skills with the ability to meet deadlines
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Basic proficiency in Adobe Creative Cloud (Photoshop, Illustrator, InDesign)
- Familiarity with professional sports or gallery environment is a plus
- Ability to lift up to 50 lbs. when handling artwork and shipments
