About the Role
The Executive Assistant II provides high-quality administrative support to both the President,
Strategy & Growth and the SVP, Business Operations. This role is responsible for managing
complex calendars, coordinating communications, supporting daily operational needs, and
ensuring alignment across two fast-paced executive offices.
This is an intermediate-level administrative role, ideal for a detail-oriented professional who
excels at execution, anticipates needs proactively, and communicates effectively across
stakeholders. The EA II plays a pivotal role in driving operational clarity and professional
excellence within the executive function.
Responsibilities:
● Independently manage and prioritize complex calendars for two senior executives,
ensuring schedule optimization and efficient workflow.
● Proactively anticipate meeting needs, prepare meeting briefs, and ensure executives are
prepared for all engagements.
● Track follow-ups, manage internal and external communications, and ensure timely
responses.
● Coordinate domestic and international travel logistics and create detailed itineraries.
● Prepare, submit, and reconcile expense reports accurately and on time.
● Draft agendas, pre-read materials, and assist with presentation creation.
● Handle meeting logistics including room booking, technology setup, visitor coordination,
and materials distribution.
● Document key action items and support follow-up across cross-functional teams.
● Serve as a point of contact for internal and external stakeholders with professionalism
and discretion.
● Maintain team documents and reference materials; Notion and Google Workspace
experience preferred.
● Support onboarding for new hires and contribute to departmental initiatives and events.
Qualifications:
● 5+ years of administrative support experience, preferably supporting senior leaders in a
dynamic, high-growth environment.
● Proven ability to manage multiple priorities independently with strong organizational and
time management skills.
● Excellent written and verbal communication skills; represents executives with clarity and
professionalism.
● High discretion in handling sensitive and confidential information.
● Proficient in Google Workspace, ChatGPT, Slack, Zoom, and other collaboration tools.
● Comfortable with fast-paced environments and shifting priorities.
● Bachelor’s degree preferred.
● Ability to work regularly onsite in the NYC office.
The salary range for this position is $95,000 - $118,000, which represents base pay only and does not include short-term or long-term incentive compensation. When determining base pay, as part of a final compensation package, we consider several factors such as location, experience, qualifications, and training.
