About the Role
As an HR & Recruiting Coordinator, you will play a pivotal role in supporting the daily operations of our HR and recruiting functions. This blended role offers the opportunity to influence both the employee experience and the candidate journey, including providing bilingual (English/Spanish) support to employees and candidates when needed, ensuring our people processes are organized, efficient, and human-centered.
This role is a 6-month contract.
HR Coordination Responsibilities:
- Maintain and update headcount, employee and non-employee data across key systems, including Airtable and our HCM platform (Oracle), ensuring accuracy, timeliness, and confidentiality.
- Process employee lifecycle changes—such as new hires, internal transfers, changes to line manager or cost center, and terminations—in alignment with compliance standards and internal timelines.
- Provide on-site support on new hires’ first day by leading orientation sessions, conducting welcoming office tours, and ensuring a smooth and engaging start to their employee experience.
- Own and maintain organizational charts for assigned client groups, ensuring structures are accurately reflected and updated regularly in coordination with HR Business Partners and team leads.
- Create onboarding plans by running job descriptions through AI tool and sending the draft to the hiring manager
- Support end-to-end contractor processes, including Oracle entries for onboarding, extensions, and terminations; guiding managers on IT and access setup; coordinating Day 1 and building access; managing equipment return logistics, and submitting necessary tickets for offboarding and badge deactivation
Recruiting Operations Responsibilities:
- Manage requisition creation within our applicant tracking system (Oracle), ensuring accuracy and consistency across platforms.
- Coordinate interview scheduling and candidate communications in partnership with recruiters and hiring managers, with a strong focus on delivering a “white glove experience” for both candidates and interviewers throughout the process.
- Prepare and issue offer letters, ensuring details are accurate and documents are delivered in a timely manner.
- Oversee new hire preboarding logistics, including processing new hire paperwork and ensuring a smooth handoff between recruiting and HR operations.
- Ensure a seamless and professional candidate experience throughout the hiring and onboarding process.
Qualifications:
- Minimum 3 years of experience in an HR, recruiting coordination, or people operations role (tech, media, or startup environment preferred).
- Excellent organizational skills with the ability to manage multiple tasks, juggle shifting priorities, and adapt quickly in a fast-paced environment—while maintaining a high level of accuracy and responsiveness.
- Clear and professional written and verbal communication.
- Bilingual in English and Spanish, with the ability to communicate professionally with Spanish-speaking employees and candidates.
- A proactive, service-oriented mindset and a passion for creating a great employee and candidate experience.
- Strong problem-solving skills with a proactive approach to identifying issues, resolving roadblocks, and improving processes.
- Comfortable operating with ambiguity and changing needs while maintaining focus, precision, and timely execution.
- Familiarity with HRIS and ATS tools (e.g., Oracle, Lever, Airtable, Greenhouse) is a plus.
