Role & Responsibilities
This role will serve as a first-level resource and support to the broader Commerce People organization, assisting employees and managers with day-to-day HR needs. A significant portion of this role will focus on employment eligibility verification and Form I-9 compliance, including the completion and review of Section 2 documentation for new hires. This role may handle a variety of issues including, but not limited to: new hire onboarding, I-9 administration, background checks, terminations, exit interviews, status changes, data entry updates, visas, basic benefits inquiries, HR process and SLA documentation, and other routine HR inquiries.
- Serve as a primary resource for Form I-9 administration, including reviewing employment authorization documents and accurately completing Section 2 of the Form I-9 within required federal timelines
- Monitor I-9 workflows, track outstanding actions, follow up with new hires and managers, and ensure compliance with company policies and regulatory requirements
- Initiate and monitor new employee onboarding from offer through day one
- Communicate effectively with all levels of employees, managers, and new hires regarding onboarding requirements and HR processes
- Initiate and ensure I-9 compliance for all new hires, escalating complex cases when appropriate
- Maintain knowledge of organizational and departmental policies, procedures, and employment eligibility verification requirements
- Ensure data accuracy and maintain a high level of data integrity within HR systems
- Handle employee-related administrative, data entry, reporting, and reconciliation tasks as appropriate
- Troubleshoot and resolve basic HR issues, ensuring timely response and follow-up with employees
- Train and educate employees and managers on HR self-service options and capabilities
- Continuously pursue process and system efficiencies while operating with high levels of confidentiality and integrity
- Ability to flex work hours to accommodate business needs during high-volume onboarding periods
Requirements
- Ability to work independently and remain comfortable dealing with ambiguity and a changing environment
- Excellent verbal and written communication skills
- Strong attention to detail, particularly when reviewing employment documentation and ensuring compliance requirements are met
- Prior experience in human resources, onboarding, employment verification, and/or a customer-facing role
- Experience reviewing and processing Form I-9 documentation strongly preferred
- Ability to understand technical requirements and HR systems
- Strong organizational skills with the ability to manage high-volume onboarding transactions and competing priorities
- Ability to maintain professionalism and strict confidentiality with all materials and exercise discretion when interfacing with the business
- Working knowledge of employment eligibility verification requirements and compliance best practices preferred
As a Seasonal HR Assistant, you will play a critical role in supporting employee onboarding and ensuring compliance with employment eligibility verification requirements. A primary focus of this position will be coordinating and completing Section 2 of the Form I-9 process, partnering with new hires and internal stakeholders to ensure timely and accurate verification of employment authorization documentation. In addition, you will manage employee transactions and various administrative HR tasks, including processing new hires, maintaining employee records, and supporting day-to-day HR operations. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Ideal candidates will have previous HR experience or a background in administrative support and a commitment to providing excellent employee service.
