Isomorphic Labs (IsoLabs) was founded in 2021 and is led by Sir Demis Hassabis. Our aim is to usher in a new era of biomedical breakthroughs and find cures for some of humanity’s devastating diseases.

Your Impact

As the Office Manager & Executive Assistant (EA), for our new location in Kendall Square, Cambridge, Massachusetts, you will play a pivotal role in establishing Isomorphic Labs' first U.S. presence. In this hybrid role, you will be the on the ground responsible person for ensuring operational excellence and cultivating the collaborative culture of our global offices. You will also provide dedicated support to our Chief Medical Officer (CMO), empowering their success as they build a team and integrate seamlessly into the global Executive Leadership Team.

This position requires a dynamic and proactive individual who can balance strategic executive support with hands-on workplace management in an innovative, fast-paced environment.

What You Will Do

To reflect the hybrid nature of this role, your responsibilities will be split across two core functions:

As Executive Assistant to the Chief Medical Officer, you will:

  • Serve as the primary point of contact and trusted administrative partner for the CMO.
  • Proactively manage and optimise a complex global calendar, anticipating needs and strategically prioritising the CMO's time in order to maximise impact.
  • Independently prepare insightful agendas, meticulously capturing and documenting meeting minutes, and proactively track action items to completion.
  • Support the creation of high-impact presentations and materials for executive level audiences and ensure the timely organisation of critical data for regular reporting.
  • Coordinate complex travel arrangements and orchestrate leadership offsites and high profile events.
  • Handle highly confidential information with impeccable judgement and discretion.
  • Liaise closely and work collaboratively with the global EA community at Isomorphic Labs.

As Office Manager, you will:

  • Work collaboratively with the wider Central Operations Experience team to ensure consistency with global workplace policies and local regulations.
  • Work closely with our London-based Senior Workplace Manager, manage our workspace strategy in Cambridge, taking ownership of the day to day running of the office, ensuring a smooth, efficient and welcoming environment for all.
  • Act as the primary point of contact for team members, vendors and on-site service providers, helping to resolve queries in a timely manner.
  • Oversee maintenance programs and repairs to ensure the office is consistently maintained to a high standard.
  • Optimise the workplace, including layout improvements, setting up new desks, managing meeting rooms, light tech support and additional ad hoc projects as required.
  • Lead workplace onboarding for all new hires, ensuring they are fully integrated into our processes, security protocols and health & safety standards from day one.
  • Provide support to employees visiting from other locations, ensuring they feel welcome.
  • Support on Recruitment and People team needs where required.
  • Support interdisciplinary working by coordinating in-office events, team activities, and wellness initiatives to enhance our overall employee experience.

Skills and Qualifications

Essential

  • Proven experience in a hybrid or highly varied role supporting a C-level Executive while simultaneously managing dynamic office operations through periods of high growth.
  • Demonstrable experience launching or setting up an office, including vendor management, budget oversight, and facilities coordination.
  • Excellent decision-making skills and the ability to prioritise based on organisational needs.
  • Exceptional ability to anticipate the needs of senior leadership, make decisive judgments, and strategically prioritise competing demands in a fast-paced environment.
  • Impeccable organisational skills with a proven ability to manage multiple competing priorities, from executive calendars to operational projects, with meticulous attention to detail and a high standard of operational excellence.
  • Expertise in G-Suite (Gmail, Calendar, Docs, Sheets, Slides).
  • Polished written communication skills, able to draft clear, concise, and professional correspondence and documents with meticulous attention to detail.
  • Excellent interpersonal skills, with the confidence to build rapport and interact professionally with individuals at all levels, both internally and externally.

Nice to Have

  • Experience working within a fast-paced pharmaceutical, biotechnology, or clinical research environment.
  • Formal project management experience or qualifications.
  • Experience working in a global company and collaborating across different time zones and cultures.

Hybrid working

It’s hugely important for us to share knowledge and build strong relationships with each other, and we find it easier to do this if we spend time together in person. This is why we follow a hybrid model, and would require you to be able to come into the office 3 days a week (currently Tuesday, Wednesday, and one other day depending on which team you’re in).
