The Executive Assistant (EA) will be shared by our C- suite team, specifically, the Chief Financial Officer, Chief Revenue Officer, Chief Commercial Officer and is a primary point of contact for internal and external communications on all matters pertaining to this team.
The Executive Assistant must assist with business administration and maintain the upmost professionalism in a fast-paced environment. You must have outstanding attention to detail, instill trust and great confidence, while supporting an innovative and collaborative culture.
The ideal candidate has a strong Executive Assistant background with previous C-Suite support experience.
Main focus will be handing calendar scheduling, arranging travel and expense administration, performing other ad hoc support in service of the business needs and generally helping to organize the day to day activities.
Key Responsibilities
· Proactively manage the C- Suite teams’ calendar with attention to detail, accuracy, and allocation of time and resources. Recognize the need to reprioritize and take independent action to realign schedule to accommodate emerging needs.
· Arrange complex and detailed travel plans, itineraries, and agendas, compiling documents for travel related meetings domestically and internationally.
· Provides a bridge for smooth communication between the C-Suite team and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff
· Manage expenses, submission of monthly expense reports in accordance with company policies, and resolves expense-related issues for the C Suite team.
· On an ad hoc basis, provide support in creating management communications and/or gathering other materials in service of the business (i.e., create business decks, perform market research)
· Perform general administrative duties along with complex administrative projects including researching information; updating databases; and organizing large volumes of material
· Coordinate with other Executive Assistants on all general office administrative tasks such as mail sorting, phone back-up, office and break room supplies, mass mailings, etc.
Skills, Knowledge and Expertise
· Minimum two-year associate degree required; prefer bachelor’s degree preferably in business or another related field
· Minimum seven years of administrative experience required.
· Minimum seven years of experience supporting a C Suite Executives
· Outstanding attention to detail and routinely checks details
· Required to be a highly competent and advanced user of all MS Office suite products
· Required to have excellent written and oral communication skills
· Required to have the ability to work in a fast-paced environment while managing competing priorities
· Must be able to work under pressure and handle a wide variety of activities and confidential matters with discretion
· Ability to prioritize, time manage and multi-task with limited supervision, under firm deadlines
